Building Your Master Sheet: Core Structure
Create a spreadsheet with the following column groups for a 360-degree view of every order.
1. Order Identification
- Order #: Internal tracking ID (e.g., USF-001)
- Agent: Superbuy, Pandabuy, Sugargoo, etc.
- Agent Order #: The platform's specific order number.
- Date Ordered: Purchase date.
2. Product Information
- Product Name / Description: Brief item details.
- Product Link: Hyperlink
- Price (¥): Item price in Chinese Yuan.
- Quantity: Number of units ordered.
- Size / Color / Version: Specific chosen options.
3. QC & Shipping
- QC Photo Link: Hyperlink
- QC Status: Pending / Received / Approved / RL'd.
- Warehouse Receipt: Link to agent's storage proof.
- Shipping Method: EMS, SAL, KR-EMS, etc.
- Tracking Number: With hyperlink to tracking site.
4. Financial Tracking
- Total Item Cost (¥): Sum of (Price * Quantity).
- Shipping Cost (¥): Freight charges.
- Total Cost ($): Converted total in your local currency.
- Refund Status: None / Requested / Received / Partial.
- Refund Amount (¥): Amount returned.
- Notes: For issues, agent messages, or special instructions.
How It Works: Integrating Your Workflow
- Order Placement: Immediately after purchasing with your agent, create a new row. Paste the product link, price, and details.
- QC Phase: Once the agent provides QC photos, update the "QC Photo Link" and set the status. This keeps all visual checks tied to the order.
- Warehouse & Shipping: Link the warehouse receipt upon arrival. When shipped, input the tracking number—make it a clickable hyperlink for easy tracking.
- Financial Close-Out: Record final shipping costs. Use the "Refund" columns to track any returns or reimbursements, giving you a clear net spend per item.
