How to Implement and Use Your Tracking System
Step 1: Sheet Setup & Batch Logging
Create the columns as above in Google Sheets or Excel. When a new batch order is placed with CNFANS, immediately create a row for each unique SKU, logging the Batch Order IDAssigned Warehouse
Step 2: Live QC and Storage Updates
As QC photos and results come in from CNFANS agents or warehouse staff:
- Update the QC Status
- Insert hyperlinks to cloud folders containing QC photos in the QC Notes
- Once passed, record the specific Storage LocationDate In Storage
Step 3: Consolidation & Shipping Workflow
For orders containing items from multiple warehouses, use filter views to see all components. Once all items for a customer order are ready:
- Instruct the respective warehouses to dispatch.
- Update the master sheet with Tracking Number, Dispatched Date, and Estimated Delivery Date.
- Change the Overall Status
Step 4: Timeline Monitoring & Reporting
- Use filter and sort functions to see all items awaiting QC
- Sort by Date In Storage
- Track Estimated Delivery Dates
- Mark items as Delivered

Use data validation rules for columns like QC Status, Warehouse, and Shipping Method
Integrate with IMPORTRANGE or APIs
If receiving data from other sheets, use =IMPORTRANGE()
Set Up Conditional Formatting Alerts
Configure rules to highlight rows where QC Status is "Failed" or where the Estimated Delivery Date is past due, ensuring critical issues are never missed.
Create Summary Dashboard
On a separate tab, use =COUNTIFS()=SUM()
