A Guide to Documenting Packaging Stages for Enhanced Traceability and Transparent Communication
Maintaining a clear, visual, and updated record for every order is crucial in our repacking process. This guide details the standard procedure for documenting parcel photos and repacking updates in the shared spreadsheet. Consistent documentation improves order traceability, minimizes errors, and ensures transparent communication with our customers.
Standard Operating Procedure
Step 1: Initial Photo & Entry (Upon Receipt from Seller)
When a parcel from the seller arrives at the LoveGoBuy warehouse:
- Take a Clear Photo:unopened
- Spreadsheet Entry:
- Locate the corresponding order row.
- In the column "Initial Parcel Photo", insert the image. (Use "Insert Image Place in Cell" in Google Sheets).
- In the "Status Update""Parcel received from seller. Initial photo uploaded."
- Update the "Date Logged"
Step 2: Photo & Notes During Repacking
During the quality check and consolidation/repacking stage:
- Take Process Photos:
- Photo of opened parcel
- Photo of any damaged or discrepant items
- Photo of the final repacked box
- In the column "Repacking Stage Photos", insert a collage or multiple images clearly labeled.
- In the "Repacking Notes"
- Condition of received items.
- Actions taken (e.g., "Discarded original damaged box," "Consolidated with Order#XXX," "Added protective bubble wrap").
- Final package dimensions/weight if measured.
Step 3: Final Photo & Shipping Update
Once the parcel is ready for dispatch:
- Take a Final Photo:sealed packagenew shipping label
- Spreadsheet Entry:
- Insert this image in the "Final Shipping Photo"
- Input the tracking numbercarrier name
- Set the "Status Update""Shipped. Tracking #[Number] via [Carrier]. Final photo uploaded."
- Complete the "Date Shipped"
